Submission & Registration Guidelines

Registration

Submission

The submission process will follow a traditional approach with abstracts submitted first, and then papers. Each submission will be processed as soon as possible (in a first-in first-out manner), once it is received by the editorial team.

All written submissions must be in English and uploaded via Easy Chair ANY TIME from now until the final due dates.

A copyright transfer agreement is required to accompany each camera-ready paper submission for the paper to be included in the proceedings. Please complete and sign the Copyright Transfer form, create a PDF version and upload it through Easy Chair.

Abstracts

Abstracts must not exceed 200 words long and must be prepared using the formatting instructions available in this (abstract template). Abstracts must be submitted through Easy Chair and will be peer-reviewed by the Editorial Committee (Scientific Chairs and Track Chairs) who will provide feedback on their suitability for the conference.

Full Papers

Full papers must not exceed 10 pages long. They must be prepared in accordance with the formatting instructions available in this (paper template), and submitted through Easy Chair. The peer-review process for full papers will be single-blinded and undertaken by 2 international experts in the field, which will be selected by the Track Chairs in order to avoid any conflict of interests with authors. Once reviews take place, Track Chairs in the corresponding subject area will define the outcome for papers (accepted as is, accepted with minor revisions, accepted as poster, or rejected). There will be two main categories of papers: academic (scientific) and posters. Borderline papers will be accepted as posters and will be judged by the subject area Track Chairs. Thus, authors of those contributions will have the right to publish their papers in the conference proceedings (acknowledging their poster nature) and to present them in the special poster session. Accepted papers may need to be re-submitted to address minor comments and questions from the reviewers.

Short Papers/Posters

A short paper between 2 to 8 pages long must be submitted alongside each A1 size poster (in landscape or portrait) for presentation at a poster session during the conference.

Proceedings

Accepted papers (including short papers accompanying posters) will be published in the online-version of the conference proceedings.

Presentation Slides

Presentations shall be prepared in PowerPoint© slides. Please bring along your presentation file to the conference on a USB stick and ensure that the file is uploaded to the system plenty of time before your scheduled presentation slot.

Attendance/Registration

By submitting, the authors agree that for every paper accepted, at least one author will register for the conference and present the paper in person at one of the sessions. A separate registration is required for each paper to be presented and published in the proceedings.
